Right-size every audit
to the job at hand

Pick the depth the situation needs — a full DVSA ER Deep Audit for formal sign-off, a rapid Snap Audit on the compliance basics, or a Focused Section Audit when only one section matters.

Deep Audit

Full DVSA ER standard · 300+ criteria

The complete Earned Recognition audit — all 10 sections, every qualifying question, every subsection. Produces the full formal PDF report with fleet overview, operator profile, action plan and supervisor sign-off.

Use for: formal audits, Public Inquiry preparation, ER scheme applications, annual operator audits.

Snap Audit

Compliance basics only · 20-30 minutes

A focused subset of questions covering just the critical and compliance-basic items — the things that matter most at a Traffic Commissioner appearance or during a spot-check. Full scoring, full report, a fraction of the time.

Use for: quick health-checks between formal audits, pre-audit rehearsals, rapid triage, new-operator onboarding.

Focused Section Audit

One section only · drill down where it counts

Pick any single DVSA section — Vehicle Standards, Driver Standards, Transport Manager, whatever the concern — and audit just that area in full depth. Ideal for remediation, follow-ups and thematic reviews.

Use for: remediation after a warning letter, follow-ups on previous non-compliance, TM handovers, thematic improvement projects.

Compliance Consultancies

Manage multiple operator clients from one dashboard. Per-seat pricing scales with your team. Publish verified reports with one click — your clients can share QR-verified PDFs with the Traffic Commissioner, insurers or customers.

Transport Manager

Professional competence (CPC & refresher currency), continuous and effective management, good repute, and responsible-person criteria for Restricted licence holders.

Vehicle Standards

Maintenance systems, safety inspections, PMI schedules, MOT compliance, brake testing, tachograph calibration, wheel security and defect reporting.

4

Driver Standards

Drivers' hours (EU & domestic), WTD, tachograph management, driver card downloads, VU analysis, infringement tracking and manual records for exempt operators.

Enterprise tools in every audit.
None of the busywork.

Live government data, OCRS email ingestion, QR-verified public reports, intelligent audit flow and white-label branding — everything you need in one place.

New

OCRS Email Ingestion

Each audit gets its own ingest email address. Forward your DVSA OCRS report — the platform auto-parses the PDF and attaches the Roadworthiness and Traffic scores to the audit. No data entry, no manual copy-paste.

New

QR-Verified Public Reports

Every signed-off audit carries a tamper-evident QR code. Scan it to open a branded public verify page showing the live compliance fingerprint — so operators can prove report integrity to the Traffic Commissioner, insurers or clients.

New

Supervisor Sign-Off & Publishing

Two-step compliance workflow. A junior auditor compiles, an org admin reviews and signs off — only then does the audit publish and the QR code go live. Protects your brand and mirrors how professional audit practices actually work.

DVLA Vehicle Lookup

Enter a VRM and pull live DVLA Vehicle Enquiry Service data — make, model, fuel, Euro status, CO₂, plated weight, tax status and tax due date — straight into the fleet overview.

DVSA MOT & Annual Test History

Live DVSA API integration — full annual test record, pass/fail ratio, days to expiry, mileage between tests and outstanding safety recalls. Flags vehicles operated before being added to VOL.

Companies House Auto-Fill

Type a company name or number during signup — suggestions appear from Companies House and selecting one auto-populates the address, directors, SIC codes and status. Sole traders supported.

Fleet & Sample Management

Build the fleet in one click per vehicle, then apply DVSA sampling guidance automatically (1–3 → all, 4–20 → 3, 21–49 → 4, 50+ → 10%). Sampled vehicles appear inline during Vehicle Standards.

Operator Overview (ARC-style)

Capture operator profile, OCRS scores, management structure, employees, predictability of work and the auditor's summary — formatted exactly like the ARC/ACE reports DVSA ER auditors use.

Audit Intelligence

Automatic cross-checks — detects MOT tests before a vehicle was added to VOL, flags potential operated-without-specification issues, surfaces outstanding safety recalls on audited vehicles.

Intelligent Qualifying Engine

Answer a few setup questions and the audit tailors itself — vehicle type, licence type, ADR status, international operations, tacho exemption, maintenance type. Only relevant questions appear.

RAG Scoring & Advisory Flags

Four-band RAG compliance scoring — Compliant, Advisory, Improvement Needed, Non-Compliant — mirrors how professional ER audit reports are structured. Applied per section and overall.

White-Label PDF Reports

A4-portrait branded reports with cover, operator & fleet overviews, section scores, advisory highlights, action plans and formal declaration. QR code on the cover. Your logo, your colours.

Tachograph Exemption Handling

Operators exempt from tachographs? The platform detects exemptions and swaps tachograph-specific questions for manual record-keeping alternatives — with appropriate WTD checks adapted for manual data.

Team & Seat Management

Invite auditors with role-based access. Start with 5 seats, add more at £2/month each — Stripe handles prorated billing. Disable or re-enable users as your team changes.

Billing Self-Service

In-app invoice history with downloadable PDFs. Update payment methods, change plans or cancel directly from your dashboard — powered by Stripe's PCI-compliant billing portal.

One scan.
Proof of integrity.

Every signed-off audit gets a public verify URL and a QR code on the cover page. Scanning the code opens a branded verification page that shows the live compliance fingerprint — and flags any modification since publication.

  • SHA-256 fingerprint captured at supervisor sign-off
  • Branded public verify page — your logo, your colours
  • Shows auditor name, audit start & end dates, section RAG scores
  • Optional full-view mode for full answer transparency
  • Warning banner if the audit is edited after publication

Five steps from start
to verified report

1

Qualify

Companies House auto-fills the operator profile. Choose Deep, Snap or Focused mode. The platform builds your bespoke audit.

2

Fleet & OCRS

Add each vehicle by VRM — DVLA and DVSA APIs auto-fill data. Forward the operator's OCRS email — the PDF is parsed automatically.

3

Audit

Work through each section at your own pace. Every question has guidance and citations. Record results, flag advisories, build action plans.

4

Sign Off

An org admin reviews and signs off the audit. The compliance fingerprint is captured at that moment and the QR code goes live.

5

Publish

The branded PDF is ready to print or email, with a scannable QR that proves the report hasn't been modified since sign-off.

Frequently asked questions

How does the 14-day free trial work?

Sign up with card details — nothing is charged until the 14 days ends. Use the full platform (all 3 audit modes, all integrations, all features) for the entire trial. Cancel any time before the trial ends and you're never charged.

What's the difference between Deep, Snap and Focused audits?

Deep is the full DVSA ER standard — 300+ criteria across all 10 sections. Snap is a curated subset focused on compliance basics — a rapid 20–30 minute health check. Focused drills down into just one section (e.g. Vehicle Standards) for remediation or follow-up work.

How does QR verification work?

When an org admin signs off an audit, a SHA-256 fingerprint of the content is stored and a public verify URL goes live. The QR code on the PDF cover links to that URL — scanning it opens a branded page showing the operator name, audit dates, auditor, section RAG scores and a ✓ or ⚠ indicating whether the audit has been modified since publication.

How does OCRS email ingestion work?

Each audit has its own ingest email address, shown on the audit page. Forward the operator's OCRS PDF email to that address — the platform receives it via webhook, parses the Roadworthiness and Traffic scores, and attaches them to the audit automatically. No manual data entry.

What is DVSA Earned Recognition?

Earned Recognition is a DVSA scheme allowing compliant HGV and PSV operators to demonstrate high standards through regular audits. Accredited operators benefit from reduced DVSA encounters and reputational advantage.

How do the 5 auditor seats work?

Your plan includes 5 auditor accounts plus a free org admin. Need more? Add seats in one click at £2/month (or £20/year) each — Stripe handles prorated billing. You can reduce seats any time too.

Are there limits on audits or operators?

No. Your subscription covers unlimited audits and unlimited client operators — the only thing metered is the number of auditor user accounts.

How do the DVLA and DVSA integrations work?

Enter a vehicle's VRM — the platform pulls live data from DVLA Vehicle Enquiry Service (make, model, fuel, Euro, plated weight, tax) and DVSA MOT / Annual Test History (test record, pass rate, mileage, recalls). No manual typing.

Can I use this for internal audits?

Absolutely. Transport managers use Snap Audits for monthly internal self-assessments and Focused Audits for targeted follow-ups. Stay audit-ready year-round.

What licence types are supported?

Standard National, Standard International and Restricted licences for both HGV and PSV operators. Each licence type gets a tailored question set. Sole traders are fully supported alongside limited companies.

How does white-labelling work?

From organisation settings, upload your logo and set brand colours. These appear throughout the platform, on all PDF reports and on the public verify page.

What about tachograph-exempt operators?

The qualifying engine detects tachograph exemptions and automatically replaces digital tachograph questions with manual record-keeping alternatives, including adapted working-time-directive checks.

Can I cancel my subscription?

Yes, cancel any time from your dashboard — no contract, no phone call. Annual subscribers retain access until the year expires. If a payment fails, you have a 5-working-day grace period before a 28-day read-only window kicks in, so nothing's lost in a hurry.

Can I keep my data if I stop auditing?

Yes — the Archive Plan (£5/month or £50/year) keeps your historical audits alive as read-only. Perfect for winding a practice down or keeping records accessible after a team change.

Is my data secure and GDPR compliant?

Yes. Data is hosted on Google Cloud infrastructure (Firebase) with encrypted storage, authenticated access and UK GDPR compliance. You can export or delete your data at any time. Privacy policy at theftc.co.uk/privacy-policy.
